Work Orders

  • Question: Our business heavily utilizes work orders. Let's say our switch over day is January 1, and a customer comes in and starts a new job on Dec 28 that won't be finished by the cutoff. Would we need to manually re-create that work order in the “new” system or is there a process for exporting those too? Same for outstanding POs, bills due, user setup and security, etc. etc.
  • Answer: All work orders would have to be manually created in the restarted data set.

PO's

  • The same process from work orders goes for PO's. You can double enter the PO's and leave them as pending, or wait till go live and enter them all then.

Bills due

  • The process of entering starting numbers will load the balances for each supplier. The details will not be in the restarted data

FORMS: How do I create my forms and move them into my restarted data?

Users: How do I get my users and their security settings into my restarted data?

  • You print out your category report and manually add them to the restarted data

  • You must manually set up the printer tree configuring it using the same settings as your original data

  • Manually review settings in your previous data set and configure the same settings in your new data set.
  • You may spend some time discussing settings with your implementation co-ordinator, but the purchased time is for getting direction on how to copy the settings over to the restarted data set. If you want to spend additional time performing set up and configuration activities, you may need to purchase additional implementation time.

Contract Pricing: How do I get my contract pricing for my customers into my restarted data?

  • You can now data load contract pricing when data loading to inventory documented as of 2016-09-28(cm) testing in 6.1.2.194

Alternate Ship-To Customers/Adresses: How do I set up my alternate ship-to customers in my restarted data?

  • The data load you performed should have loaded the main customer account record and all of the ship to customer records.
  • You manually link to each ship to alternate customer in the ship to tab of the main customer record.

National Accounts: How do I set up my National Accounts in my restarted data?

  • The data load you performed should have loaded the main customer account record and all of the ship to customer records.
  • You manually re-create the links from national accounts to sub-accounts.

Canned Invoice Comments: How to I set up my canned invoice comments in my restarted data?

  • This is one of the steps in going through the setup wizard settings. Again, it is manual.

Kits: How do I set up kits in my restarted data?

  • The data load you performed should have loaded all of the parts making up the parent and child parts of the kit.
  • Manually change the main kit parts to a kit type of 1 for information only
  • Manually add each of their child parts to the associated parents.
  • NOTE: If the kit parts are nicely structured it is not too difficult to add all of the child parts in one quick process by using the multi-select column when finding the child parts.
  • If you are considering a data load process please see below.
  • WARNING: kit data loads are an advanced data load process not covered under normal data load plans or basic System Restart plans
  • There is a specific data load interface for kits. You will need to perform the kit data load in order to re-create the kits. Getting the data from your historical data is described in summary below.
  • Perform an export from your historical data (summary only).
    • Use the design inventory report
    • Use the SQL filter: select * from “Inventry” where kittype <> 0
    • Make sure to check of the “List Items in Kit” option. (Go to the options tab to see this setting)
    • Massage this data in excel to create a file with Parent kit part, child kit part, and quantity
    • If you have multiple kit types, you will need to make sure each part in the list is set to the correct kit type.
      • If you have a lot of parent kit parts, then splitting out the data load by kit type would work well. Replace the 0 in “kittype <> 0” with the kit type in order to split this out.

How do I get the greatest amount of information from my existing data set?

  • By very thoroughly testing that you imported every field possible.
  • Due to the varying configurations and type of data being stored by customers each process is normally unique with common data load elements.
  • There isn't a single strategy or technique that works for everyone.
  • There are simply too many customized settings to let there be a single effective method for data loading.

  • Picture data loads are an advanced data load process not covered

  • WARNING: In a restart there are additional complications of getting the pictures out of the existing data, as well as how to produce the needed import file that will be able to load those pictures. This is an advanced process that would normally be done via some sort of manual process or by writing a custom program to produce the necessary import file.
